|Description:||We are seeking a Receptionist/Office Assistant for our Columbia, MD office. The position requires someone who is reliable, able to follow directions and exhibits a can-do attitude. |
|Duties:||Main duties include, but are not limited to:|
Answering a heavy call volume phone system and screening phone calls for staff;
Providing directions to clients as necessary;
Greeting and directing customers to the appropriate staff members, handling solicitors and escorting customers;
Keeping calendar of staff schedule;
Performing general clerical duties as instructed, including making copies, filing, ordering office supplies, monitoring office inventory, regulating stamp machine, distributing mail, shredding documents, etc.;
Preparing correspondence (weekly agenda, letters, etc.);
Scheduling appointments, ordering lunches and coordinating meetings;
Maintaining office equipment and arranging for repairs and service;
Keeping reception and break areas clean and orderly; inspecting quality of janitorial service and reporting any problems;
Scanning Out Contracts and attaching them to orders;
Assisting locations General Manager and Office Manager on various projects;
Providing clerical support to other 4Wall personnel as needed; and
Performing other tasks as required.
Printing/emailing billing statements and invoices for customers;
Processing credit card transactions;
Contacting customers regarding the need for deposits/certs/COD status;
Contacting customers regarding transactions and/or orders as necessary;
Scanning invoices into system for accounting on a daily basis;
Mailing checks/invoices to customers/vendors; and
Creating and distributing Reserved report to sales agents twice weekly.
T-Shirt (ordering, counting, folding and organizing);
Coordinating lunches for special occasions;
Decorating executive offices;
Organizing supply cabinets; and
Sending out holiday cards.
High School Diploma or equivalent;
Some college or higher education preferred;
Computer skills including MS Office;
Excellent written and verbal communication skills;
An ability to work individually and as part of a team;
Reliability and ability to work assigned schedule; and
Attention to detail.
